Office Assistant – Madison, WI

Due to growth in our Madison, Wisconsin office, Johnson Block and Company has an exciting career opportunity available as an Office Assistant.  We are seeking experienced team members who pride themselves on quality work.  We work hard in service to the company and our clients while allowing ourselves to live balanced, well-rounded lives.

Position Description: You’re reliable, on-the-ball, have excellent verbal and written communication skills, and high attention to detail. In this role, you will use your talents to greet and welcome visitors, review and prepare the “end product” our clients receive, and keep the office in perfect working order.

Hours: This position will work 30+ hours a week during our busy season (December-May), with somewhat reduced hours (approximately 20 hours) during the remainder of the year. Our normal office hours are 8:00 am-4:30 pm Monday-Friday, with the office closing at noon during the summer. Some Saturdays from January-April may be required.

Major Responsibilities Include:

  • Assist in compiling, reviewing and mailing of tax and audit reports
  • Assist in maintaining cash records, billing and deposits
  • Assist in office projects (i.e. document management efforts, marketing, proof-reading)
  • Prepare weekly and monthly office reports
  • Coordinate and assist with accounts receivables and collection efforts
  • Monitor inventory of office supplies and prepare orders
  • Provide general administrative support to professional staff
  • Answer the phone in a professional manner, directing calls to the person requested by caller or that person’s designee
  • Greet all visitors in a cordial and professional manner
  • Receive and distribute incoming mail and faxes to the appropriate employee
  • Perform other duties and responsibilities as assigned

Our Requirements

Education / Experience: 

  • High school diploma or equivalent degree
  • 2+ years related experience

  • Excellent team skills, positive attitude and high ethical standards.
  • Excellent communication, organizational, and attention to detail skills.
  • Ability to manage multiple projects in a deadline driven environment.
  • Commitment to quality and the timely completion of work.
  • Strong computer skills and proficient in Microsoft Office and online research tools.
